The Executive Assistant to the COO of Woven by Toyota creates a professional, productive and pleasant environment where the COO and her team can execute. As a result, this role indirectly supports all stakeholders who rely on the COO, improving our operations as a company.
You will report to COO and be the COO’s first contact, and an expert in supporting her daily activities, including organizing meetings and appointments.


  • Manage and improve the COO’s time, in consideration of business priorities. Decide where time should be invested, ensuring the right balance between internal/external commitments, and structured/unstructured time. Allocate the right time investments to the right stakeholders.
  • Manage the COO calendar across multiple time zones; maintain complex schedules, coordinate appointments, and greet & welcome external visitors. Coordinate global travel.
  • Work with senior Executive Assistants, so there is aligned planning, good collaboration and clear processes within the COO’s team and when collaborating with other teams. Ensure the right things get done with the right quality at the right time, and nothing falls through the cracks.
  • Be willing to jump in and help where needed, including some event management and project management


  • +10 years of administrative experience with at least 3 years as an EA to a global executive in a fast-changing environment
  • Excellent communication skills in both Japanese and English
  • Ability to work independently and part of a collaborative team, and assume additional responsibilities as part of a collaborative team, and assume additional responsibilities
  • Strong time management skills
  • Flexible to changing plans and priorities
  • Maintain strict confidentiality standards
